Reporting Social Security numbers electronically
Q. I receive an error message when I enter one of the new expanded Social Security numbers into UIFastTax, UIWebTax or EAMS. What should I do?
A.
You can still file your taxes, but you need to enter zeros for all the Social Security digits; if the system will not accept zeros, leave it blank.
You will need to have the following information available when calling:
- Employer’s name
- ESD reference number
- The quarter you are filing
- Invalid/unacceptable SSN
- Employee’s name
- Hours and wages
Note: Please do not use unsecured email to send Social Security Numbers.

Q. I received a letter from Employment Security Department's Office of Special Investigations telling me to stop using a particular Social Security number. What should I do?
A.
Stop using that Social Security number. It doesn’t correspond to the employee you’re reporting. You’re still required to report the wages of the employee, so either get the individual’s actual Social Security number or leave the Social Security number blank.
Q. Won’t I be penalized if I leave the Social Security number blank?
A.
Yes, there are monetary penalties for submitting incomplete forms,
but the penalties are steeper for failing to report employees.The penalties for filing an incomplete report are as follows:
- 10 percent of any quarterly contributions due up to $250, but not less than $75 for the second occurrence; $150 for the third occurrence; and $250 for the fourth and subsequent occurrences.
- If no contributions are due for a given quarter, you will be penalized $75 for the second occurrence; $150 for the third occurrence; and $250 for the fourth and subsequent occurrences.
Q. Will Employment Security advise me on who to hire and fire?
A.
No. We can’t help businesses with employment decisions.

A.
