The opportunity
The Unemployment Insurance Training Benefits Team is seeking two Office Assistant 3s to perform clerical duties. This position supports and helps our customers receiving training benefits and/or unemployment insurance (UI).
Major duties
- Under general supervision, independently performs a variety of complex clerical projects and assignments such as preparing reports, reviewing, verifying and processing documents.
- Retrieves, modifies, and enters data on a numerical or an alphabetical system.
- Creates, stores, mails, and posts documents.
- Performs word processing tasks, and complex rapid-data inquiry and/or entry functions.
- Logs, organizes, reviews, and tracks Training Benefit applications.
- Utilizes electronic systems to access imaged documents, such as claimant and employer initial reports.
- Processes appeal documents for the Training Benefits Unit.
- Answers incoming calls regarding training benefits and/or returns phone calls.
- Assists in data entry with Call Message Recording (CMRs), pin resets, and address changes.
- Assists in queue process by sorting e-mail appeals documentation.
- Assists with processing returned mail; Identifies, researches, routes, and documents reasons for incorrect address and/or undeliverable mail.
Required qualifications
This position requires high school graduation or equivalent and two years of clerical experience.
Desired qualifications
Preference will be given to candidates who clearly demonstrate following skills and experiences in their letter of interest.
- Skilled user of Microsoft Outlook, Excel, PowerPoint, and Word.
- At least one year of experience scheduling, answering phones, and taking thorough notes from telephone conversations and meetings.
- At least one year of experience compiling and sorting data, performing basic mathematical calculations, and creating graphs and flow charts based on that data.
- At least one year of experience writing memorandums, letters, or business correspondence on behalf of supervisor or company; top candidates will have strong writing, editing, and English grammar skills.
- Professional demeanor and customer-focused communication skills on the phone and in person.
