The opportunity
The Seattle-King County Area WorkSource office located in Auburn is recruiting for an Office Assistant to provide complex clerical and administrative support to Area office staff. The position will be responsible for establishing the organization and maintenance of working files and tracking systems.

Major duties

  • Establishes a process for organizing working files that consist of both hardcopy files and electronic files.
  • Creates a system for tracking personnel requests, position status and organization, staff evaluation information and length of service; purchasing requests and invoicing; and working assignments.
  • Verifies that all incoming requests are correctly coded and include all required documentation.
  • Reconciles timesheets and leave slips as well as confirms coding is correct.
  • Gathers pertinent area information and assembles reference notebooks and resource materials for management staff.
  • Establishes a process for submitting routine reports according to deadline and agency requirements.
  • Set-up calendars in MicroSoft Outlook and assists with scheduling and follow-up.
  • Updates and distributes frequent changes to the phone lists and organization charts for WorkSource Development Area (WDA 5) offices.
  • Provides telephone support to the area.

Required qualifications
This position requires high school graduation or equivalent and two years of clerical experience.

Desired qualifications
Preference will be given to candidates who clearly demonstrate the following skills and experiences in their letter of interest:

  • Knowledge of WorkSource systems and operations.
  • High level of expertise working in MicroSoft Excel and PowerPoint.
  • Understanding and experience with records management and archiving.
  • Ability to multi-task with frequent interruptions.
  • Ability to establish priorities in a fast-paced, high demanding and sometimes stressful environment.
  • Excellent customer service skills.
