The opportunity
This position provides administrative support to the Unemployment Insurance (UI) Division’s King County TeleCenter’s (KCTC) Adjudication or Intake Unit. Under the direct leadership of the Washington Management Service (WMS) manager assigned to the unit, you will be responsible for organizing, establishing, and maintaining office procedures for the unit. Through detail and organization, this position will prioritize the workload, and keep the department running smoothly so that Washington’s unemployed receive timely unemployment benefits.

Major duties

  • Proof-reads and edits documents for accuracy using established guidelines.
  • Provides administrative support to the KCTC Adjudication or Intake Unit. Represents supervisor’s or unit’s goals and explains the supervisor’s policies or opinions when needed.
  • Prepares personnel paperwork for hiring, selection, and appointments to ensure compliance.
  • Exercises high confidentiality at all times, as much of the work handled by the supervisors is personnel-related.
  • Compiles program information and statistics, routine reports, and correspondence for adjudication or intake supervisors and management.
  • Monitors the progress of projects as assigned by TeleCenter management.
  • Corresponds with unit staff, TeleCenter management, and customers on behalf of the WMS manager.
  • Navigates and demonstrates agency applications during training sessions.
  • Assists in the process of setting up training environments for adjudication or intake.
  • Assists with the imaging system, Oracle, with documents received and takes appropriate action to complete or deliver to the appropriate workflow area.
  • Organizes meetings, reserves meeting rooms, assists with set-up of meetings and trainings, procures equipment and resources as requested and approved by management.
  • Assists with reviewing phone schedule.

Required qualifications
One year of experience as an Administrative Assistant 1.

Or

A bachelor's degree in business administration, public administration or closely allied field and two years of responsible office experience at the senior clerical level or higher.

Clerical or office work experience may be substituted for education on a year-for-year basis.

Graduate study may substitute for experience on a year-for-year basis.

Desired qualifications
Preference will be given to candidates who demonstrate following skills and experiences in their letter of interest.

  • Expert level user of Microsoft Office Suite.
  • At least one year of experience in a high-volume, fast-paced office setting.
  • At least two years of proven experience doing public contact work, demonstrating interpersonal savvy.
  • Excellent skills in both verbal and written communication.
  • Results-oriented individual who will actively seek solutions to issues that arise.

The Unemployment Insurance division administers and provides program services through statewide TeleCenters and its Web site.
